What are AI agents?
AI agents are software systems that use an AI model to decide the steps of a task and take actions in other tools to finish it, such as reading a request, checking a calendar and booking a time. A chatbot only replies. An agent acts. The safest business agents work inside clear rules, with a person approving risky steps.
Google's 2026 guide for site owners defines AI agents as "autonomous systems that can perform tasks on behalf of people, such as booking a reservation or comparing product specifications." That is the core idea. You give an agent a goal, and it works out how to reach it using the tools you allow.
Here is a simple example. A homeowner texts a garage door company: "Door is stuck halfway, can someone come tomorrow?" An agent reads the text, asks for the address, checks that the address is in the service area, looks at tomorrow's open slots, books one, and sends the owner a summary. No one at the company typed a word.
How do AI agents work?
AI agents work in a loop: understand the goal, pick a step, use a tool, check the result, and repeat until the job is done or a person needs to step in. Here is that loop in plain terms.
- Goal. The agent gets a job, such as "book this caller into the right appointment."
- Plan. The AI model decides what it needs to know first, such as the job type and address.
- Act. It uses a tool: asks the customer a question, looks up the calendar, reads a form.
- Check. It looks at the result. Did the calendar return an opening? Is the address inside the service area?
- Repeat or stop. It takes the next step, or it stops because the job is done, a rule says stop, or it is unsure.
- Hand off. Anything outside its rules goes to a person with a summary of what happened so far.
Anthropic's 2024 guide to building agents describes the same pattern: agents get feedback from their environment at each step, can pause at checkpoints for human input, and should have stopping conditions such as a maximum number of steps.
AI agent vs chatbot vs workflow: what is the difference?
The difference comes down to who decides the next step. A chatbot decides what to say. A workflow follows steps a person designed. An agent decides some of its own steps toward a goal.
| Chatbot | Workflow with AI | AI agent | |
|---|---|---|---|
| Main job | Answer questions in conversation | Run a fixed process with AI at certain steps | Reach a goal using tools |
| Who decides the steps | The script or the AI, for replies only | The person who designed it | The AI, within set rules |
| Takes actions in other tools | Rarely | Yes, the ones built into the process | Yes, the ones it is allowed |
| Local business example | Answers "Do you work on hybrids?" on a website | Texts every new web lead and tags it in the CRM | Takes a call, gathers details, books the job and updates the record |
| Risk level | Low to medium | Low | Medium to high without guardrails |
Anthropic's guide makes a point many vendors skip: start with the simplest solution and add complexity only when needed. Plenty of jobs at a local business are better served by a reliable workflow than by a full agent. More on that in what AI automation is.
What are the parts of an AI agent?
Every AI agent has the same basic parts, whatever the vendor calls them:
- The model. The AI that reads, reasons and writes.
- Instructions. Your rules: service area, job types, hours, what it may and may not say.
- Tools. The things it can do, such as read your calendar, send a text or update your CRM. Our CRM setup and automation work is often the plumbing agents rely on.
- Knowledge. Approved information about your business, such as services, policies and FAQs.
- Limits. Stopping points, approval steps and a clear handoff to a person.
In our view, most agent problems trace back to one of these: vague instructions, too many tools, or missing limits.
Where do AI agents help a local business?
AI agents help most where a task needs a short conversation or several lookups, and where speed matters. That usually means the phone and the inbox. Invoca's 2025 Call Conversion Benchmarks found that only 61% of callers reach a live person, so an agent that answers, qualifies and books can catch calls that would otherwise go to the next company.
Other good fits include drafting quotes from photos for an estimator to approve, reading intake forms and filling in your system, and suggesting which technician should take a job. We list more in AI agent examples for small businesses.
What are the risks of AI agents?
The main risks of AI agents are mistakes that build on each other and actions taken without a person noticing. Anthropic's guide warns that the autonomy of agents brings "the potential for compounding errors." A wrong assumption in step two can lead to a wrong booking in step five.
You are also responsible for what an agent says and does in your business's name. Practical safeguards:
- Keep each agent to one narrow job.
- Give it only the tools that job needs.
- Require a person to approve anything involving money, legal details or health information.
- Make it say it is an AI when it talks to customers, and hand off on request.
- Never let it make outbound AI calls without documented consent, as required under the FCC's February 2024 ruling on AI voices.
- Test it on past examples before launch, then review its work every week at first.
Could AI agents be visiting your website?
Yes, and this side of AI agents gets less attention. Google's 2026 guide notes that browser agents may visit websites to complete tasks for people, by reading screenshots, the page code and the accessibility tree. A customer might one day ask an assistant to "book a furnace tune-up for next Tuesday," and the agent will try your booking form.
Clear buttons, labeled form fields and a booking flow that works on a phone help those agents and help real people too.
